How Important Are Shift Logs?
Let me tell you a story.
One weekend evening in 2018, the factory’s AC main unit threw an error. The night shift guy simply wrote “AC malfunctioned” and went home. When maintenance arrived Monday morning, the compressor was fried—if they’d handled it that night, replacing a solenoid valve would have fixed it. Instead, we spent 80,000 RMB on a new compressor.
Shift logs aren’t just paperwork. They’re insurance.
The Template We Use
Here’s our shift log template—simple but effective:
1 | [Facility Shift Log] |
Key Point: How to Write Good Exception Records
This is what I want to emphasize most. Many logs say “equipment abnormal” and then nothing.
A proper exception record needs:
- Time - When it was discovered
- Phenomenon - Specific details (alarm codes, parameter issues, strange noises)
- Initial judgment - Possible cause
- Action taken - What was done
- Follow-up recommendation - Who needs to follow up
Go Digital
Many factories now use digital shift log systems. Some we’ve tried:
- DingTalk/Feishu logs - Mobile-friendly, supports templates
- SCADA systems - Directly connected to equipment, automatic logging
- Specialized facility software - Such as “FacilityDog”
Benefits of going digital: traceable, statistical, never lost.
Bottom Line
Shift logs—if you’re going to write them, do it properly.
Not to pass inspections, but to save your butt when it matters.
What format of shift logs does your facility use? Any good templates to share? Let’s discuss in the comments.
